Pulse Privacy Policy
Effective date: October 5, 2026
1. Introduction
Pulse Travel GMS (“Pulse”, “we”, “us” or “our”) operates the Pulse guest management platform, including the website at https://pulseapp.travel, the Pulse web application and its SMS messaging features (together, the “Service”).
This Privacy Policy explains what personal information we collect through the Service, how we use and protect it, who we share it with and the choices you have. It should be read together with our Hotel Messaging Terms and Conditions.
2. Who this policy applies to
- Hotel Customers: independent and boutique hotels and hospitality businesses that subscribe to Pulse, and their staff who use the platform.
- Guests: people whose information is processed through Pulse because they have a reservation or stay at a Hotel Customer’s property.
- Website visitors: anyone who visits pulseapp.travel.
3. Our role
For Hotel Customer account information and our website, Pulse decides how personal information is used and is responsible for it.
For Guest information, Pulse acts as a service provider (data processor) on behalf of the Hotel Customer. The hotel decides what information to collect and why, and is responsible for obtaining Guest consent. We process Guest information only to provide the Service to that hotel. Guests with questions about their reservation data should contact the hotel directly; we will help the hotel respond.
4. Information we collect
From Hotel Customers
- Business contact details: name, job title, email, phone number and business address
- Property details: hotel name, location and configuration
- Billing and subscription details (payment card details are handled by our payment processor, not stored by Pulse)
- Account login details and platform settings
About Guests (on behalf of Hotel Customers)
- Name, mobile phone number and email address
- Reservation details such as confirmation number, arrival and departure dates and room type
- SMS consent records: when and how the Guest opted in, and any opt-out
- Messages sent and received through the platform, and service requests
Collected automatically
- Usage data such as IP address, browser and device type, pages visited and time spent
- Message delivery data such as delivery status and timestamps
- Cookies needed to keep you signed in, remember settings and secure the Service
5. How we use information
- To provide, operate and maintain the Service
- To send and receive SMS messages between hotels and their Guests
- To manage Guest service requests and stay-related communications
- To record consent and honor opt-out requests
- To provide customer support to Hotel Customers
- To bill Hotel Customers and manage subscriptions
- To monitor, secure and improve the Service and fix technical issues
- To meet legal obligations, including messaging compliance rules
We do not sell personal information. We do not use Guest information for Pulse’s own marketing, and we do not use it to build advertising profiles.
6. SMS messaging and consent
How Guests opt in. Guests opt in to text messages by checking an SMS consent checkbox on the hotel’s booking or pre-arrival registration form. The checkbox is not pre-checked, and agreeing to texts is not required to make a booking. We keep a record of each Guest’s consent.
What we send. Messages are transactional and related to the Guest’s stay: reservation confirmations, check-in instructions, room-ready notices and replies to service requests. Pulse does not send marketing or promotional text messages.
Frequency and cost. Message frequency varies with the Guest’s reservation and requests. Message and data rates may apply.
Opting out and getting help. Reply STOP to any message to stop receiving texts. You will receive one final message confirming the opt-out, and no further messages will be sent unless you opt in again. Reply HELP for help, or email privacy@pulseapp.travel.
Carriers. Carriers are not liable for delayed or undelivered messages.
No sharing of mobile information. Mobile phone numbers and SMS consent collected through the Service will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with any third party, except with the service providers that deliver the messages (such as Twilio) and only for that purpose.
7. How we share information
We share personal information only as described below.
- With the Hotel Customer whose Guest the information relates to.
- With service providers that help us run the Service. They may use the information only to perform services for us and must keep it confidential. Our main providers are:
- Twilio, for SMS delivery (Twilio Privacy Notice)
- Stripe, for Hotel Customer billing (Stripe Privacy Policy)
- Cloud hosting and infrastructure providers
- Website analytics providers, for pulseapp.travel only
- For legal reasons, when required by law, a court order or a valid request from public authorities, or to protect the rights, property or safety of Pulse, our customers or others.
- In a business transfer, such as a merger, acquisition or sale of assets. Any buyer must honor this policy.
We do not sell personal information, and we do not share it with third parties for their own advertising or marketing.
8. Cookies
The Pulse web application uses essential cookies to keep users signed in, remember settings and secure the Service. Our website may use analytics cookies to understand how visitors use it. We do not use advertising or remarketing cookies. You can block cookies in your browser settings, but parts of the Service may not work without them.
9. Where information is stored
Pulse operates from British Columbia, Canada. Some of our service providers store or process information outside Canada, including in the United States. When that happens, we use contracts and safeguards consistent with Canadian privacy law. Information stored in another country may be accessible to that country’s courts and authorities.
10. How long we keep information
We keep personal information only as long as needed to provide the Service and meet legal obligations. Message logs and SMS consent and opt-out records are kept for at least 12 months for compliance. Hotel Customers may ask us to delete Guest information in line with their own retention requirements. Opt-out records may be kept longer so we can continue to honor them.
11. Security
We use industry-standard safeguards, including encryption in transit (TLS), access controls limited to staff who need it and secure credential management. No system is completely secure, but we work to protect your information and will notify affected parties of a breach as required by law.
12. Your rights and choices
Depending on where you live, including under Canada’s PIPEDA, British Columbia’s PIPA, the EU/UK GDPR and California privacy law, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Ask us to delete your information
- Withdraw consent, including replying STOP to stop text messages
- Object to or restrict certain processing, or receive a copy of your data in a portable format
- Complain to a privacy regulator, such as the Office of the Information and Privacy Commissioner for British Columbia
To make a request, email privacy@pulseapp.travel. We may need to verify your identity first. If your request is about Guest information, we may refer you to the hotel, or work with the hotel to respond. We will not treat you differently for exercising your rights.
We do not sell or share personal information for cross-context behavioral advertising. Because there is no common standard for “Do Not Track” signals, our website does not respond to them.
13. Children’s privacy
The Service is not directed at children under 13, and we do not knowingly collect their personal information. If you believe a child has given us personal information, contact us and we will delete it.
14. Changes to this policy
We may update this policy from time to time. We will post the new version on this page with a new effective date. For significant changes, we will also notify Hotel Customers by email or in the app before the change takes effect.
